Spoke 4 - The Green Flag
Setting Up the Next Chapter | Indisputable Delivery
A green flag does not appear out of nowhere. The team prepared for it during every lap before it dropped. The retainer conversation works the same way - it should never be a surprise to the client. By the time you reach the Impact + Vision Session, the next chapter should already feel like the obvious move.
THE THREE MOMENTS
Seeds for the next chapter get planted at three distinct points during every engagement. Miss any of them and the closeout call does more heavy lifting than it should.
Moment 1 - Kickoff
This is where you establish Zipcio's identity as a long-term partner, not a project vendor. Every person in the kickoff room needs this context - including people who were not in the sales conversation. Do not assume everyone knows why Zipcio is in the room.

KICKOFF FRAMING - 90 SECONDS, NON-NEGOTIABLE "Before we get into the plan I want to take 90 seconds to give everyone a sense of who we are - especially if you were not part of the initial conversation. Zipcio was built specifically to be the kind of partner that grows with clients over time. The way we structure our work, the standards we hold ourselves to, and the way we think about what comes after this engagement - all of that reflects that intention. Our goal is not to deliver a project and hand off. It is to be the team you keep coming back to." |
After the framing, ask one question before moving to the agenda:

THE LONG-TERM QUESTION AT KICKOFF "What would it look like for this to be a long-term partnership - what would we need to do in this engagement to make that feel like an obvious yes for you?" |
Their answer tells you everything about what the next chapter pitch needs to be. Write it down. Come back to it at the Impact + Vision Session.
Moment 2 - Mid-Engagement Check-In
At least once during the engagement - ideally at the halfway point - surface what you are seeing that would be worth addressing in a next phase. This is not a sales pitch. It is an observation from someone paying close attention.
- Note one or two things you have discovered during the build that were not in scope but would create real value
- Reference them in the meeting as observations: "one thing I have noticed as we have been building this..."
- Do not pitch - plant. The goal is that the client starts thinking about next steps on their own before you ever formally propose them
Moment 3 - Impact + Vision Session
This is the Impact + Vision Session - the structured closeout call. By this point the client has heard the long-term partnership framing, they have heard at least one mid-engagement observation about what comes next, and they have experienced an engagement where wins were consistently surfaced. The next chapter conversation should feel like a natural continuation.
- Review the impact of the engagement against the WIG you identified at kickoff
- Present the two closeout deliverables from Spoke 2 - the prioritized next steps list and the HubSpot health summary
- Reference the answer they gave you at kickoff: "at the beginning you said you would know this was a good partnership if we... here is where we are against that"
- Present one specific next chapter - not a menu of options. A specific observation about what comes next and what it would accomplish.
- The soft ask: "Does continuing to build together feel like the right move - or is there something we should talk through first?"
TIMELINE AND SCOPE AUTHORIZATION
The following table is the current working framework for what SAs are authorized to agree to independently versus what requires Pod Leader involvement. This will be reviewed and finalized by leadership - SAs should use the Pod Leader column as the default until the final version is confirmed.
